Institutionen för neurobiologi, vårdvetenskap och samhälle (NVS) består av 11 sektioner och har c:a 500 anställda. Verksamheten bedrivs vid KI Campus Flemingsberg, men institutionen finns även representerad på andra platser i Stockholm. På institutionen bedrivs utbildning på grund- och avancerad nivå, forskarutbildning samt klinisk och experimentell forskning inom institutionens olika ämnesområden.

Division
The research group of Professor Miia Kivipelto is based within the division of Clinical Geriatrics and belongs to KI Center for Alzheimer Research. The largest part of Professor Kivipelto’s multidisciplinary research team, the Nordic Brain Network, is based at KI. Another part works at leading academic institutes in Finland. Professor Kivipelto’s research group carries out internationally renowned research. The team has identified several modifiable risk factors for Alzheimer’s disease (AD) and dementia, including interactions between genetics and the environment. Recently, the team has carried out prevention trials, testing multi-domain interventions to prevent AD and is involved in several international collaborations and networks.

Division and research group

Team members are also working at the Clinical Trials Unit and at the Memory Clinic at Karolinska University Hospital, Huddinge and Solna.

Professor Kivipelto’s research group carries out internationally renowned research. The team focuses on prevention, early diagnoses and treatment of dementia and Alzheimer’s disease (AD) and has identified several modifiable risk factors for AD and, including interactions between genetics and the environment and underlying mechanisms. Recently, the team has carried out prevention trials, testing multi-domain interventions to prevent AD, and they are involved in several international collaborations and networks. We are now looking for an administrative research coordinator for a position with opportunities for personal development.

Duties
The administrative research coordinator will work closely with Professor Kivipelto at all sites in Stockholm; Solna and Huddinge. He/She will take initiative in leading various administrative tasks to assist the research team, and will manage finances/research funds, personnel among other duties. The work is both autonomous and team-based, and requires close interactions with individuals at various levels of the organization, coming from a range of disciplines. Responsibilities for the successful applicant will include, but are not limited to:

Management of finances and grants
The job requires advanced financial management and planning of: funding for various national- or EU-funded projects, project-related contracts and invoices, follow-up and reporting to funding agencies and development of proposal budgets. Extensive knowledge of grants management regulations and accounting standards is therefore required. Previous experience from EU financial/grants management is a strong advantage.

Human resources and management of personnel
The administrative research coordinator will advise and support the academic staff and students within the group regarding administrative enquiries. He/she will be responsible for administrating contracts, salaries, employment extensions, scholarships, reimbursements, and management of travel and accommodation expenses, including travel orders and reimbursement processes for the group.

Other tasks
The administrative research coordinator will represent the NBN team and will work with various internal and external departments and committees (e.g. KI Grants Office, KI Legal office, national ethics committee(s), Karolinska University Hospital, external funding organizations and others). Being the liaison person, he/she will ensure that projects, transactions and agreements are carried out in accordance with laws and policies. Furthermore, the coordinator will lead the organization of various events, regularly update the website, and prepare progress reports. The role requires a well-structured mindset, excellent communication skills, flexibility and the ability to deliver under tight time lines.

Entry requirements
The applicant should hold a relevant university degree, e.g. business administration, health care administration or a related field, and have extensive management experience, including documented financial skills. IT skills are also essential, including proficiency using Microsoft Office and website management. The applicant should be fluent, with advanced writing skills, in both Swedish and English.
